This Personal Data Protection Notice (“Privacy Notice”) is issued by ST Badminton Academy Malaysia (hereinafter referred to as “the Academy”, “we”, “us”, or “our”) to all students, parents, guardians, and website visitors. It explains how we collect, process, use, and disclose your personal data in compliance with the Personal Data Protection Act 2010 (“PDPA”) and its latest amendments.

By registering for our badminton training programs or communicating with us, you acknowledge that you have read and understood this notice.

We may collect and process various types of personal data to provide proper coaching and ensure student safety, including but not limited to:

  • Student details: Name, age, gender, date of birth, and NRIC/Passport number (where necessary).
  • Parent/Guardian details: Name, contact number, email address, and relationship to the student.
  • Health information: Medical conditions, past injuries, or allergies relevant to physical training (this is considered sensitive data and is collected strictly for safety purposes).
  • Performance records: Training progress notes, foundation test results, and exam assessments.
  • Visual media: Photos and videos taken during training or tournaments for performance analysis and academy updates.
  • Payment data: Bank payment slips or transaction reference numbers.

We collect personal data through:

  • Online application forms on our website.
  • WhatsApp messages and inquiries.
  • Direct email communication or phone calls.
  • Registration forms filled out at training venues.

Purposes of Processing:
The personal data we collect is used solely for:

  • Scheduling and managing badminton lessons and slots.
  • Communicating regarding schedule changes, fees, exams, and foundation tests.
  • Emergency contact in case of injury or urgent situations during training.
  • Assessing training levels and monitoring student progress.
  • Internal administrative record keeping.

Supplying your personal data (and your child’s data) is voluntary. However, certain data such as parent contact numbers, student names, and emergency details are obligatory for enrollment.

If you fail to provide this compulsory information, ST Badminton Academy may be unable to register the student, process the application, or ensure safety during training sessions.

ST Badminton Academy does not sell your personal data. We keep your information confidential, but we may disclose it to the following third parties on a need-to-know basis:

  • Service Providers: IT vendors, website hosts, and communication platforms (e.g., WhatsApp, Google) used to manage academy operations.
  • Competition Organisers: If your child is selected to participate in a tournament, their details may be shared with organizers.
  • Professional Advisors: Accountants or legal advisors for compliance purposes.
  • Authorities: Government bodies or sports associations if required by Malaysian law.

Security: We implement reasonable physical and digital security measures (such as restricted access to student records) to protect your data from unauthorized access or loss.

Retention: We retain personal data only for as long as necessary to fulfill the training purposes or to comply with legal, tax, and accounting requirements. Once the data is no longer needed, it will be securely deleted or anonymised.

International Transfer: We may use cloud storage or messaging services (e.g., WhatsApp) that host data on servers outside Malaysia. By providing your data, you consent to this transfer, understanding that we take steps to ensure these providers maintain a high standard of data protection.

As the majority of our students are minors (under 18 years old), we require a parent or legal guardian to consent to the processing of the child’s personal data. By submitting your child’s application, you confirm that you have the authority to act on their behalf and consent to their data being processed by ST Badminton Academy.

Under the PDPA Malaysia, you have the right to:

  • Request Access: Ask for a copy of the personal data we hold about you or your child.
  • Request Correction: Update your data if it is inaccurate or incomplete (e.g., change of phone number or address).
  • Withdraw Consent: Stop us from processing your data for optional purposes (such as marketing photos), subject to contractual limitations required for training.

A: We will not be able to contact you regarding class rescheduling or emergencies, which may affect your child’s safety and participation.

Q: How long do you keep my data after I leave the academy?
A: We generally keep records for a standard period (e.g., 7 years) for tax and legal protection purposes before securely deleting them.
